Event Form
Are you planning an event at V1 and need guidance on what you will need? We have created this document to help you create, and execute your event to be a success.
Step 1: Accounting
If your event has any income or expenses you will need to fill out a pre-event form. Income can be any money received from registration, merchandise sales, or donations. Expenses are any cost of putting on your event including decor, food supplies, or honorariums. If your event will not have any expenses or income you can skip this step and go to “step 2.”

Access the Pre-Event Form

Once filled out, email accounting@visaliafirst.com to set up a meeting with the accounting team to set up registration pages.
Step 2: Church Master Calendar
Once you have a date in mind for your event head over to the master calendar on Planning Center Online (PCO) and make sure your date is available and is not in conflict with any other service or event at V1. To access the calendar to view current events or to enter your event you will need a PCO login. If you do not have a PCO account you can follow the link below and submit a request to office manager, and she will assist you in getting your event on the master PCO calendar.

Step 3: Security
If you would like security for your event, please email stacic@visaliafirst.com and request security for the dates you are interested in.
Step 4: Communications
The communications department will guide you with tools to get the word of your event out. The link below will take you to an external page where you can choose what support you would like to receive from the Comms Dept. These requests can be a custom graphic or video as well as a request for your event to be included in the announcement video, program guide, and website if your event falls within predetermined guidelines.
Step 5: Kids Ministry
If you wish to offer child care or Kids Ministry for your next event you must follow the link below to make our Kids team aware of the request. Following your submission the team will respond with logistics that are available as well as potential costs that must be incurred for hiring qualified childcare for your event. All childcare/Kids Ministry at V1 must be supplied by the Kids Ministry to ensure adherence to state-mandated child care guidelines.
Step 6: Media Request Form
The media department inside V1 Creative is able to assist your event with technicians in the areas of sound, lighting, screens, cameras, and live stream. Follow the link below to reach out to our media director, Eric Starling after you submit your event to the PCO calendar. Eric will set up an initial meeting if needed and can supply you with potential costs of a full media team for full scale events.
Step 7: Worship/Live Music Request Form
The worship department is able to provide live worship for your event, pending availability and enough preparation time. If you have an upcoming event and would like V1 Worship to play at it, please submit the form after you submit your event to the PCO Calendar.
